Running a Property Portfolio on Spreadsheets

The client was managing a portfolio of residential and commercial properties entirely through Excel sheets and manual processes. Rental agreements were prepared ad hoc, follow-ups on payments and renewals depended on memory, and there was no reliable way to know when a tenancy was due to expire. Property photos and documents were stored inconsistently - often impossible to locate when needed.

With no accounting structure in place, the owner had no visibility into how individual properties were performing. There was no way to see income versus expenses at a property level, no consolidated P&L, and no dashboard to give management a clear picture of the business. Decisions were being made without data.

One System for the Entire Portfolio

Blue Bridge implemented Odoo across CRM, Sales, Accounting, Inventory, and Purchase modules — configured specifically for a property management workflow. Tenant leads and inquiries are now managed through CRM, rental agreements and invoices flow through Sales, and all income and expenses are tracked in Accounting - broken down by property. The owner can open a dashboard and immediately see how each property is performing.

Contract expiry tracking replaced manual follow-ups entirely - the system flags upcoming renewals automatically. Property documents, photos, and tenant records are stored centrally and accessible in seconds. Access rights were configured so each user sees only what is relevant to their role. The entire implementation was completed in three weeks, including two days of onsite training.
